Taking an enquiry through to enrolment
One pipeline from first contact to an enrolled student, with the record carried forward at each step so nothing is retyped when a family finally says yes.

The 1 points where someone must decide
Everything else can be worked on in any order. These cannot move without a person.

Every applicant starts as a new lead, whether they arrived through the website, a phone call or a walk-in. Recording the enquiry at the point it happens is what makes the pipeline count mean anything later.

The early stages track the conversation rather than the paperwork: contacted, then a tour scheduled. Families drop out most often here, which is why these are separate stages instead of one.
- New lead — recorded, nobody has spoken to them yet.
- Contacted — a real conversation has happened.
- Tour scheduled — a date exists in the calendar.

A pipeline that hides waiting cannot tell you where the delay is.
Application sent, then documents pending. Documents pending is deliberately its own stage because it is where applications sit longest, and a pipeline that hides waiting cannot tell you where the delay is.

Under review means the school now has what it needs to decide. Interview scheduled means a date is set with the family. Both are states of the school's process, not of the family's.

Aarav Shah · Year 9

Declined by the school
Withdrawn and rejected are kept apart — mixing them makes conversion meaningless.
An application ends in one of four places: offered, enrolled, rejected, or withdrawn. Withdrawn and rejected are kept apart on purpose — a family that chose another school is a different fact from one the school declined, and mixing them makes conversion figures meaningless.
Gate · Enrolment
Offered → Enrolled
Enrolling is what turns an applicant into a student on the roster. It is a separate act from making an offer because an offer can be declined, and the roster should only ever contain children who actually joined.
Who can approve what
Designations are assigned in IB roles and are separate from the account role somebody signs in with.
| Designation | Sees | Approves |
|---|---|---|
| Admissions staff | The whole pipeline | Moving an application between stages |
| Leadership | The whole pipeline | Nothing — view-only |
If something looks empty
Conversion rate looks wrong
Check whether withdrawn applications are being marked rejected. They are different outcomes and only one of them is about your school's decision.
Applications pile up at documents pending
That is the stage doing its job — it exists to make the wait visible. The question is what the follow-up process is, not whether the stage is needed.
An enrolled student is not on the roster
Enrolment creates the roster entry. If it is missing, the application is probably still at offered.
