Setting homework and marking what comes back
One assignment moves through four states, and each one changes who can see it. This is where the work is written, how it reaches a class, what a student can and cannot do to it, and where the mark shows up for a family.

A draft is filtered out of every student and family request on the server, so it cannot be reached by guessing a link.
An assignment is written against one class, with a title, instructions, a type and a due date. Saving it as a draft is the normal first move — a task half-written is not a task a class should be reading.
Drafts are private to staff, and that is decided when the record is read rather than by hiding a row in the interface. A student portal asking for the class list is given only work that has actually been set.
- Title, instructions, class, type and due date.
- Drafts and scheduled work are visible to teachers and leadership only.
- Editing stays available after publication — a correction to the instructions does not require a new assignment.

A scheduled assignment releases itself when its time passes. Release now publishes it early without editing the date.
Publishing is what makes an assignment exist for a class. Until then it counts for nobody: it is not in a student's list, not in a family's, and not in any completion figure.
Scheduling exists so that work written on Sunday evening does not arrive on Sunday evening. A scheduled task carries a release time and becomes assigned when that time passes, and Release now publishes it ahead of schedule without rewriting the date.
Gate · Publication
Draft or scheduled → Assigned
Crossing into assigned is the moment the work becomes visible to students and families, so it is a deliberate act rather than a side effect of saving. Non-staff requests are filtered to assigned and closed work when the server reads them — which is why a draft cannot leak to a class that was sent the link.

Work can be withdrawn and handed in again while the assignment is open. Once it is closed, neither is possible.
A student submits written work, a file, or both — an image, PDF, audio or video attachment alongside the text. Audio matters more than it looks: it is often the only practical way for a younger child to hand in an interview or a reading.
A submission can be withdrawn and replaced while the assignment is open, which is deliberate. A child who attached the wrong photo should not need a teacher to intervene.

Four students have not submitted. They are absent from this queue rather than sitting in it as zeroes.
Marking happens against a submission rather than against the assignment, so a class part-way through is a normal state rather than a blocked one. A score and written feedback can be left together or separately — feedback with no number is a legitimate outcome for plenty of work.
A submission that has not been marked reads as pending, and the To-review tab is the queue. Nothing moves out of it on a timer.
Gate · Review
Pending → Reviewed
Only staff can cross this line. A student submitting through the same endpoint has the grading fields — feedback, score and review time — stripped from the request on the server, and the submission is forced back to pending. Self-grading is not blocked by hiding a button; the fields are discarded whoever sends them.

A family sees their own child and no other. The scoping is applied when the rows are read, not chosen in the browser.
Families read their own child's work: what was set, what was handed in, and the mark and feedback once a teacher has left them. Unmarked work says it is unmarked rather than showing a placeholder score.
There is no separate publication step for a family. A mark is visible to the child and the family together, which is the honest arrangement — a grade a student has seen is not a secret from home.

Closed work
A full stop, not an archive
Reading log · week 2
22 of 22 marked
Family migration interview
18 of 22 handed in
Closed work stays readable to everyone who could see it before. What stops is handing in.
Closing ends submission. The assignment stays visible to the class and to families, along with whatever was handed in and marked — closing is not archiving, and nothing disappears from a student's record.
A student who submitted nothing before closing has submitted nothing. That gap is left as a gap rather than being filled with a zero, because the two mean different things and only a teacher knows which applies.
Gate · Closing
Assigned → Closed
Closing blocks submitting and withdrawing for everyone, including a student mid-upload. It is the one state change a class feels immediately, so it is worth doing when the deadline has genuinely passed rather than at the moment the due date does.
Who can approve what
Designations are assigned in IB roles and are separate from the account role somebody signs in with.
| Designation | Sees | Approves |
|---|---|---|
| Teacher | Their own classes, including drafts and scheduled work | Creating, publishing, scheduling, marking and closing |
| Leadership and admin | The whole school, including drafts | The same as a teacher |
| Student | Work set to their class, once assigned or closed | Handing in and withdrawing their own work |
| Family | Their own child's work and marks | Nothing — the family view is read-only |
If something looks empty
A student says the homework is not in their list
It is most likely still a draft, or scheduled with its release time in the future. Students and families are only ever sent assigned and closed work, and that filter is applied on the server.
A student cannot hand anything in
The assignment has been closed. Closing blocks both submitting and withdrawing — reopen it by editing the assignment back to assigned if the window was ended early.
A completion figure looks too low
It counts submissions against the class, and students who have not handed in are absent from the review queue rather than counted as zero. Four missing submissions read as four missing, not as four failures.
A message left on an assignment never reached the other person
Assignment messages are held in the browser that wrote them for now — tasks, submissions and marks sync to the school record, messages do not. Use Messaging for anything that has to arrive.
The Homework screen shows different work from the Assignments manager
The Assignments manager is the school record. The separate Homework screen is a local preview whose contents never leave the browser, so the two will not agree.
