Reviewing students who need attention
School-observable patterns worth an educator's eye. It is not a diagnosis, it makes no judgement about a child, and it is deliberately built so it cannot be used as one.
For Pastoral staff, coordinators and leadership · reviewed 23 August 2026
The 2 points where someone must decide

No data at this school
Absence of evidence reads as unknown, never as low.
Four dimensions, each from records the school already keeps: attendance, academic, assignments and engagement. Nothing here comes from outside the school and nothing is inferred about a child's circumstances.
Where a dimension has no data it reads as unknown, not as low. Absence of evidence is reported as absence of evidence.
- Attendance — the pattern, not just the percentage.
- Academic — movement against the student's own record.
- Assignment — what is being handed in.
- Engagement — participation across the platform.

Students to review
An order for a conversation, not a verdict

Too little data to say
Levels are low, medium, high or unknown. They order a conversation; they do not decide anything. A high level means the records look unusual for that child, which is a reason to look rather than a conclusion.
Unknown is common in a school new to the platform and is the honest answer when there is nothing to read.

Record the review
Including the decision that nothing is wrong

Reviewed · no action needed
A reviewed child carries that judgement forward instead of resurfacing unexamined.
A member of staff who has looked records that they looked, and what they concluded. This is what stops the same child being flagged and re-flagged with nobody remembering that it was already considered.
Gate · Human review
A signal → A recorded professional judgement
The signal is the software's contribution and it stops there. A review attaches a person's name to a decision, including the decision that nothing is wrong — which is the outcome most worth recording.

At close
Attendance improved; closer felt it had not
Where the closer's view and the records disagree, both are kept.
An intervention is either immediate or a support plan, with actions and owners. It moves from open, through in progress, to completed or cancelled.
When it closes, the outcome is measured against what the records actually did rather than against whether it felt successful — and the two are allowed to disagree.
Gate · Closing an intervention
In progress → Completed
Closing records both the closer's view and what the underlying signals did. Where they disagree that is kept rather than reconciled, because a school that only records its successes cannot learn which interventions work.
Who can approve what
Designations are assigned in IB roles and are separate from the account role somebody signs in with.
| Designation | Sees | Approves |
|---|---|---|
| Teacher | Their own students | Recording reviews |
| Pastoral and leadership | The whole school | Reviews and interventions |
| Family and student | Nothing — this is a staff tool | Nothing |
If something looks empty
Every student reads unknown
There is no attendance or assessment data yet. Unknown is the correct answer, and better than a reassuring low.
A child you are worried about is not flagged
It reads school-observable records only. It is a net, not a substitute for knowing your class.
The same child keeps reappearing
Record the review. A reviewed child carries that judgement forward instead of resurfacing unexamined.
