Running the library
Cataloguing, lending and returns, with loans tied to the same student records the rest of the school uses.

Everything else can be worked on in any order. These cannot move without a person.

Copies tracked separately from titles
Journey to the River Sea
3 copies · 2 available
The Water Cycle Explained
1 copy · on loan
Atlas of World Migration
1 copy · marked lost
Titles are catalogued once with their copies tracked separately, so three copies of the same book are three lendable items rather than one record somebody has to remember about.

Linked to the same student record as everything else

Journey to the River Sea · due 6 Sept

The Water Cycle Explained · due 30 Aug
A loan links a copy to a student from the roster, with a due date. Because it uses the same student record as everything else, a child's borrowing sits alongside the rest of their record rather than in a separate system.
- Active — out on loan, within its due date.
- Overdue — past the due date and not yet back.
- Returned — closed.
- Lost — closed differently, because a lost copy should leave the lendable stock.

Returns and chasing
Overdue is derived from the date
Ishaan Verma
Due 14 Aug · 9 days late
Diya Rao
Returned 22 Aug
Atlas of World Migration
Not recoverable
Returned puts the copy back in stock; lost takes it out.
Overdue is derived from the due date rather than set by hand, so the chase list is a fact rather than somebody's housekeeping. Marking a copy lost removes it from stock, which is what keeps the catalogue honest about what can actually be borrowed.
Gate · Closing a loan
Active or overdue → Returned or lost
A loan closes one of two ways and they mean different things to the collection. Returned puts the copy back into stock; lost takes it out, so the catalogue continues to describe what is actually on the shelf.

Reading lists
The library's actual holdings, not a separate document
Water systems · Year 7
4 titles · 3 held by the library
Migration stories · Year 8
5 titles · 1 held
A unit's reading list is most useful when it is the library's actual holdings rather than a separate document that slowly stops being true. Linking them means a teacher planning a unit can see what the school already owns.
Who can approve what
Designations are assigned in IB roles and are separate from the account role somebody signs in with.
| Designation | Sees | Approves |
|---|---|---|
| Librarian and office | The whole collection and all loans | Cataloguing, issuing, returns, write-offs |
| Student and family | The catalogue, and their own loans | Nothing |
| Classroom teacher | Nothing — the library is not open to teacher accounts today | Nothing |
If something looks empty
A teacher cannot open the library at all
Correct today — the library is available to office and leadership accounts, not to teacher accounts.
A book shows as available but is not on the shelf
The loan was probably never closed, or a lost copy was marked returned. Lost removes it from stock; returned does not.
Overdue counts look wrong
Overdue is derived from the due date. Check the due dates rather than the status.
Still stuck?
Bring the unit you are working on. Thirty minutes with someone who has taught the programme.
